Going out with a bang:

cropped-relaxed-rotarians-in-evanston.jpgChuck’s tenure as the District Rotary Foundation Chair (“DRFC”) ends on June 30, 2019, but our banquet on November 8th will be his last Foundation Awards Banquet as the DRFC.

It is poetic that his last banquet will celebrate the district’s first $1,000,000 year in 2017T1718_EN-2018. Past District Governor ({DG) John D. Padgett and DRFC Chuck Arnason want to celebrate the clubs and devoted Rotarians responsible for this stellar year of generosity. As PDG John’s theme stated “Rotary: Making a Difference.”

 

Hair today, gone tomorrow:

You may remember that previously to Chuck challenged Rotarians to give, give, give and in exchange he would shave his head. Well, they did and he did.

This year he has made no such challenge, but maybe we could give him a special thanks for his innovation of the recognition points match on “Giving Tuesdays, the special promotion of Benefactor promises, and his strong support of the Paul Harris Society, which he once chaired before becoming District Governor  … oh so long ago.

He and PDG John are proud also, that this year District 7600 has two generous donors inducted into the e Arch Klumph Society.

But, Chuck & John salute all Rotarians who dipped into their accounts or their estates to support the work of The Rotary Foundation.

So, you have tonight (November 3) and tomorrow (November 4) to register for the banquet.  Because of headcount reporting requirements, there can be NO walkins for the banquet.

Registration extended till November 4th!

If you haven’t registered yet for the District 7600 Foundation Awards Banquet, you still have a few days to sign up on dacdb.com.  We want a great turn out to help celebrate the generosity of the D7600 Clubs and member donors.  After all, 2017-18 is our very first M I L L I O N Dollar giving year.

First off, register yourself and/ or your spouse/significant other, so you have someone to chat with on the road.

Secondly, if you are reading this on Facebook, “like” it and write a comment about your own Rotary Foundation story. Do this even if you have already registered. Next share it to your own timeline or any Facebook page on which you may post.

Finally, there are fourteen clubs which are on the Awards list which have not had anyone from the club register. If you can put a bug in the right persons’ ears to get those clubs represented, it would be super much appreciated.

Those 14 clubs are:

2017-2018 Foundation Awards Banquet November 8, Colonial Heritage Club:

T1718_ENThe 2017-18 year was very rewarding for District 7600.  Our members and clubs contributed or bequeathed over one million dollars ($1,000,000) to The Rotary Foundation. It is our first Mi$$ion dollar year. And we have every member and club contributor to thank!

Yes, the theme for Past District Governor John D. Padgett’s year was definitely about Rotary: Making a Difference. 

Join the District at the Rotary Foundation Awards Banquet on November 8, at the Colonial Heritage Golf Club, in Williamsburg and help celebrate the generosity of the Rotary Clubs and Rotarians who will be recognized on that evening.

Our Keynote Speaker is Zoe Romano, our District Global Scholar. Zoe was endorsed by the Rotary Club of South Richmond for the Global Scholar program and nominated to the District which approved her and endorsed her to Rotary International. She has completed her two years of study in Central and South America, returned to her home in Maine, and married her fiance, William Byers, on the weekend of our District Conference, of all things.

What has happened so far?

The Spirit of 7600 July 2018 issue has been published and sent to every Rotarian in District 7600.  Our District Governor Susan and Spirit Editor JoAnn Meaker braved swollen streams and database outages to get the Spirit published on time with some gentle assist from, now, Past District Governor John and the District Rotary Foundation Chair Chuck.

If you don’t see the Spirit from Susan, look in your spam folder.  If it is there, label it is “not spam” and it should come to your email account thereafter.   If you want to see your club’s name in lights, get your articles and pictures to JoAnn by around the 20th of each month. You may send Foundation related articles to Carol Woodward, but all submitted articles will be considered for the Spirit.

The Rotary International database has returned after a few days of  R and R.  Between the 15th & 20th of July we should have a very close accounting of our district’s giving history for the 2017-18 year.

Dacdb.com took Saturday and Sunday off for some rollover maintenance functions, but it has returned just in time to satisfy all of your unquenchable needs for district information.

What is going to happen?

District Rotary Foundation Chair Chuck and his grants team are in the process of notifying clubs as to the status of their grant applications.  Good luck everybody!

The District Awards and Change of Leadership will be on July 14 at Colonial Heritage Country Club in Williamsburg and you have a few more days to register on dacdb.com calendar.

Your club should #JointheStars or the Sensational Trio of August Rotary Seminars on August 4th.  Click on the link for the Join the STARS Flyer. Register through July 28th for this stellar training opportunity.  Go to dacdb.com calendar and register for one of the three topical seminars … Foundation, Public Image, or Membership.  Yes, you choose only one topic.  Maybe you could get some of your club colleagues to register for the other seminars.  More details will follow, but just think great breakfast, great topics, and door prizes, door prizes, door prizes.

What is new & improved?

The giving portal on rotary.org has been streamlined and it is so, so easy to give online now.  Go to myrotary.org/donate and “voila” you are in the donation portal. To complete your donation you will need to log on by entering your username (usually your rotary email address) and your password.

How to plan for the Grant Management Seminar on March 24th …

Registration on dacdb.com during 1st week of February.

The Grant Managment Seminar (GMS) is required for a club to be eligible for the award of a district 7600 grant or global grant. The Rotary Foundation requires that these GMSs be interactive and District 7600 will provide an in-person GMS on March 24th in Williamsburg at the Colonial Heritage Club and will also provide a webinar on April 21 which may be attended in person in Hampton or via webinar. Registration for the March 24th GMS will be available the first week of February on dacdb.com

Preparing for the GMS:

No, you don’t have to do any homework for the GMS, but looking over some of the 2017-2018 grants in dacdb.com (yes, you have to log in) will give you an idea what kinds of information are required and/or permitted in your online application package.

After you log on to dacdb you will see an array of tabs going across the screen.  Click on the ‘GRANTS’ tab and you will see a list of the grants approved for 2017-18.

This image is too hard to read on a laptop (if on a mobile device you may be able to pinch and expand)  but you will see the line of tabs across the screen just under the blue and red DACdb logo. About 2/3rds across you can see that one tab is highlighted in blue.  That is the grants tab.

When you click on the grants tab you will see beneath the Grants tab the 2017-18 grants.  The first column lists the clubs involved in each grant.  The second column is the name of the grant.  You can click on each grant and it will pull up documents and pictures provided by the club(s) for the grants committee to consider in its deliberative process.

Again, we know this is hard to read unless you are looking at it on a mobile device.  You should be able to pinch and expand for a bit more detail.  Here we clicked on the South Hill Grant.  This is an instance when the club provided some pictures to increase its chances of an approval by the grants committee.  Just above the pictures is a section which includes the documents necessary for grant consideration.  There is for sure … the grant application and the MOU and whatever other documents required such as a budget, any agreements with participating partners, and so on.

So, what’s the point?

Well, here is the chance for your project/grant committee to look at how other clubs (remember, these were all approved grants) have put together their grant submissions. There is also contact information for the leads on each project.  It is a chance for your grant committee to learn some of the ropes from those who have already been successful.  It may also help your grant committee hone in on questions to ask at the GMS in March.

It will help the club so much in its efforts if it asks at least two members to attend who will actually be involved in the grant application, submission, execution, and closing of grant documentation.  It will save so much confusion.

To avoid loving chiding from esteemed Franklin Rotarian and District Foundation Endowment Chair, Bill Billings … PETS is the acronym for Presidents-Elect Training Seminar.

Chesapeake PETS

Presidents-Elect from districts across the Chesapeake region gather this weekend in Chantilly for extensive training, idea sharing, and social mixing to help propel them into their Rotary year as President.  District 7600 Presidents-Elect will be participants.

These Presidents-Elect will return from PETS with the mandate to develop their club goals, including Rotary Foundation giving, and development of possible district or global grants.

Club Rotary Foundation Chairs will be on the front lines

These incoming president will be asking the assistance of their leadership teams in developing these goals and plans. Please provide your input as Club Rotary Foundation Chairs to help develop meaningful giving goals based on club giving history and a slight stretch to grow club Rotary Foundation involvement. Your expertise is also important to help guide the development of impactful district and global grants.  Don’t be shy.  This is the year to think big, sustainable projects.Consider recommending joining with other clubs to multiply impact and scale.

Grant Management Seminar

Attendance at a District Grant Management Seminar (GMS) is now a requirement for both district and global grants.  The first GMS is on March 25 at 9 am in Williamsburg at the Colonial Heritage Club.  Registration is now open on dacdb.com on the district calendar and full details can be found there.

dana-gms-webinarIn April (8th & 29th) there will be two live GMS Webinars.  Attendance can be in person or via computer.  Registrations for these webinars will be open shortly after PETS, again, on the dacdb.com district calendar.

90-day priorities for club leaders

Presidents should be registered or should be registering for the Presidential Retreat to be held on this Saturday, January 7 in Richmond.

Tasks for current club leaders to be working on or delegating in the next 90 days include

  • encouraging member engagement with the Rotary Foundation by giving early
  • assigning appropriate club leaders to be working on District Club Award nominations
  • encouraging your district grant project leaders to adhere to grant reporting requirements

Are you an incoming President (current President-Elect), incoming Rotary Foundation Chair, or incoming grant application lead?

Incoming Presidents (Presidents-Elect) should be registered or planning on registering for PrePETS also held in Richmond this weekend concurrently with the Presidential Retreat. Here you will be briefed

  • district administrative changes to take place in the 2017-18 Rotary Year

Among your 90 day tasks are

  • confirming that all incoming elected club officers, assigned positions, and committee chairs are entered into My Rotary and into dacdb.com as appropriate (this cannot be done soon enough 🙂
  • setting club goals with your incoming board and confirming that the goals have been entered  into ‘My Rotary’
  • preparing to help your team apply for a district or global grant

If you can accomplish these tasks appropriate to your role then the rest is easy-peasy.

Your registration at the dacdb.com  Calendar  for the November 10th event will provide you with a cash bar for socializing, a scrumptious Americana Buffet, and a chance to celebrate the 2015 -2016 record breaking giving year for District 7600. We achieved a new record for per capita giving and for total annual fund giving.  It was our second best year for total giving.

Haven’t registered yet?  Why not?

The Annual Membership & Foundation Workshops are scheduled for August 6 at the Colonial Heritage Golf Club in Williamsburg.  Roughly about a dozen hardworking District 7600 Rotarians are working now on the event logistics, presentations, and acquiring door prizes.  All we need now are attendees.  To date only 51  Rotarians have registered and we have capacity for at least 300.

Flyer1Who should register?  Register if you are a club membership chair or a member of a club membership committee.  Register if you are a club Rotary Foundation chair or a member a club Rotary Foundation committee.  Register if you are a committed club member and want to learn more about how to help your club excel in one of these areas.  Register if you are a newer Rotarian and just want to learn anything you can about the greater world of Rotary. Register if just want to get out of your Saturday rut.  Isn’t it boring spending every Saturday mowing, golfing, watching cartoons, shopping, or sleeping-in.  Sleep is overrated, by the way. Register if just want to spend some great time with other Rotarians. We are such an optimistic, humane, and witty bunch of folk.

It is also a great opportunity to gossip if you are carpooling with other members of your club.  It is hard to gossip gracefully during club meetings.  Sergeants-at -Arms are not very understanding of such things. Make sure you get your preferred gossipers to register so that you’ll have a roiling trip in the car down to Williamsburg.

There are 64 Rotary Clubs in District 7600.  If we had just two members from every club we’d have 128 attendees.  Four from every club and we’d have … can’t count that high.

You get the idea.  The first food count has to be in on this Friday the 29th. Register now, please, and urge fellow or fella club members to do likewise.  Just go to dacdb.com with your credit card handy and register on the ‘Calendar’ tab.  Just scroll down to the Workshops event on August 6 and hit Register Now. Select whether you want to attend Membership or Foundation Workshop.

Buy your tickets now.  Bring your families, neighbors, friends. First ball is at 7:05 pm. The The Richmond Squirrels side of District 7600 has already raised over $8000, when all of the matches and donations are factored in, to go towards ending Polio. Annual Membership & Foundation Workshops, August 6 …

These two annual trainings have been held on the same morning at the same location since 2013 to allow club leaders and members to car pool and yet have separate training in two of the most important aspects of club functioning.  These are the only two topic focused trainings each year.

Membership Workshop:

Want to learn more about the changes coming out of the 2016 Council on Legislation and how it affects your club’s membership and fellowship efforts?   Want to learn more about how to attract new members, especially those under 35? Want to learn how to engage the new and tenured members so that the club keeps them involved and active in club activities?  Mike Jallo, District Membership Chair, has answers to these questions. Membership Committee Chairs and the club’s entire membership committee should attend this hands-on workshop.

Rotary Foundation Workshop:

RandyandEREYYou’ve heard there have been changes in Club Giving Banners.  What happened to Every Rotarian Every Year (EREY)?  What about Sustaining Members?  With these changes how does a club encourage giving to The Rotary Foundation?  Rudy Garcia and the Development team has answers to these and other questions.This is a great chance to meet the entire Development team.

Global grants?  $30.000 threshold?  How can my club come up with a project that big? Arecropped-honduraspediheart2.jpg there any clubs in the district that we can join with in a big global grant?  My club did apply for a District Grant, if we get the grant, how and when do we document our progress?  Everything is online now. Isn’t that hard to do?  SuAnne Hardee Bryant and her Grants team will answer those questions and allay those concerns.

Because it is training designed to focus on two components of club health.  Register for either Membership or Foundation on dacdb.com.  Per person cost is only $35 and that is to cover the cost of the facility and the award winning Full Southern Breakfast. There will be door prizes and you can dress tropical comfortable.  The spouse can come along and shop at The Pottery nearby while you are in the workshop or book a tee time at Colonial Heritage. Welcome to the Centennial of The Rotary Foundation …

It is a great honor that the beginning year of my tenure as the District Rotary Foundation Committee Chair is the Centennial Year of The Rotary Foundation.  This year brings great optimism in that we will celebrate the Centennial throughout the district from now until July 1, 2017.  We trust that the heightened awareness of this special year will spur giving and the completion of remarkable district and global grants.  This will happen only with your help, whatever your club or district role.  The Rotary Foundation is the personal connection for each and every Rotarian to the greater good we are accomplishing throughout the world.

We are eradicating Polio, building wells and sanitation systems, linking isolated communities with state of the art foot bridges, bringing literacy  and educational programs, and improving access to health and wellness facilities for people across the world. This does not happen unless a Rotarian reaches into his or her ‘pocket’, makes a contribution, and contributes time to design and execute impactful, sustainable projects. We, as Rotarians, are The Rotary Foundation.

So, my challenge to all of the clubs and members  is promote the celebration of The Rotary Foundation Centennial, donate generously, and participate in doing good in the world.  –Chuck

District Grant application deadline … through the tunnel

May 16, Correction  the deadline is midnight on May 16 5 pm  — yes, that is the deadline for clubs to submit their applications for 2016-17 district grants in the online grants module at dacdb.com. The key thing is for each club in the project to have provided the requisite ‘online’ signatures, and the lead club to have provided a detailed budget, a concise, but clear description of the project, the needs to be met, and the required documents.

Norfolk-Elizabeth River Education Project

The District Designated Funds (DDF) available for District 7600 grants this year is $280,000 +/- to be divided evenly between district and global grants.  The grants committee headed by SuAnne Hardee Bryant will vet the applications and provide tentative approval, or not, on grant applications. The district submits all to The Rotary Foundation which has final approval of the spending plan for the district.  Once this approval of the spending plan has been granted, clubs will be formally notified of the status of their grants.

Clubs must at that point be patient and wait for receipt of their funds before beginning work their grant projects other than planning activities.

Individual clubs can receive up to $5000 for a district grant project or go in with other clubs and each receive up to $5000 or a maximum of $25,000 for a regional grant project.

The club stewardship continues through the life of the grant as clubs are required to provide interim reports and final reporting when the grant project is completed.

The district grant process allows Rotary Clubs in District 7600 to make a meaningful and lasting impact in their communities.  Projects may live on past the lives of those involved in the project. That is legacy. So now, doesn’t the application process and deadline seem less daunting?  So, let’s roll up our sleeves, boot up our computers, get project partners on live chat, and wrap up the work on those great district grant applications.

Not the Ides in the Shakespearean sense, but the Ides in the ‘there is a lot going on’ sense. No tragedy here, just lots to do to wrap up the 2015-16 year and get ready for the next Rotary year.

Finishing Strong:

The March 2016 Joy Report was published this week showing some good news.  The figures showed that club giving  had jumped from being at 48% towards club giving goals in February to 62% as of the end of March.  Overall that is good news but some clubs are still far away from achieving their giving goals and a couple of clubs are at ‘0’ giving.  Where does your club stand?  Will it ‘Bee’ a Gift to the World this year?

And finishing strong refers to completing and submitting final reports for 2015 -16 grants. We all know that 13051752_1196852390327942_4648846823256220338_nthose grants must be completed and the final reporting through the grants module on dacdb.com before a club’s 2016-17 grant applications can be considered. The district grant deadline is another Ides, March 16th.

Getting Ready:

The incoming Foundation Team lead by Past District Governor Chuck Arnason is putting the finishing touches on the Foundation breakouts at the District Training Assembly this Saturday, April 23rd.  They are planning some handouts, but the documents will also be loaded on this site’s ‘Documents’ page and on the Foundation pages rotary7600.org.  Haven’t registered yet?  There is still time to register on the dacdb.com calendar.

Does your club need to send a representative to the Grant Management Seminar (GMS) on March 19?  Your club does, if …

  • your club would like to participate in a global grant (GMS is required)
  • your club would benefit from learning how to do a needs assessment for a district or a global grant
  • your club would benefit from leaning about the online grant application process for either type of grant
  • your club would benefit from learning how to monitor and document your grant project from beginning to closeout
  • your club would like to hook-up with other clubs on a global grant

Winter will soon turn into Spring.  Thoughts will wander and many will daydream about baseball games, cookouts, swimming, and wine-tasting tours, but ..

March through May is a cyclonic time span when it comes to district grants …

— Presidents-Elect will return from the Presidents-Elect Training Seminar with a list of deadlines, dos, and questions.

–one deadline is the May 15 deadline for the submission of  2016-17 district grant applications; another deadline will be May 14, because …

— if that club had a 2015-16 district grant then that grant must have been finalized, meaning all final reporting must have been made to district … or …

— that club’s 2016-17 district grant application will not be considered in the first round of grant award consideration.  But don’t wait til May 14 to attempt to close out a prior grant.

To help clarify this and other particulars, the District will sponsor its Grant Management Seminar (GMS)  on March 19 at the Colonial Heritage Clubhouse in Williamsburg. Registration is open now on dacdb.com on the district calendar.  Cost is only $25.

The GMS satisfies the requirement for Global Grants, but it also provides valuable information applicable to district grants

— an outline of stewardship and reporting requirements

— how to document and closeout current grants

— the in and outs of multi-club grants

— and how to get that Simonize shine on that old car.

If you are a grant involved club or club leader please consider registering for the GMS and encourage a couple of your other members to do so as well.  Share the load.
