District Grants, First Deadline May 1, Grant Management Seminar, May 1, PETS

Where are the P-Es this weekend?

The District 7600 Presidents-Elect are at Chesapeake Presidents-Elect Training (PETS) this weekend receiving training for their year of Presidency. Their terms begin July 1, but their work has already begun. They will return from PETS inspired, but also stunned by all of the possibilities. How can you help?

How can I help my P-E?

The first thing you can do is by helping take some of the load of her or his shoulders. One humongous opportunity for P-Es and their clubs is the whole grants thing. Every club wants to do a great local or international grant project. It is a reality that the district grant deadline (global grants operate differently) is on May 15, well before the P-E’s presidency begins. In addition to that two additional district grant eligibility requirements occur on May 1 when:

  • a club must have its Foundation Giving Goals entered into Rotary Club Central, and
  • a club must have closed out (approved final report) any 2018-19 district grants in which the club participated.

2019-20 Grants Documents:

You, yes you, whatever your role in the club, but especially if you are the incoming Club Foundation or the Club Service Projects Chair, can download important documents about this grant cycle. These documents will be shared with the P-Es this weekend, but they are also available on the District Foundation’s website.

While there, why not enter your email address to get up to the minute (almost) Rotary District Foundation news?

Chesapeake PETS, Club Rotary Foundation Chairs, dacdb.com, GMS, Grant Management Seminar, PETS

To avoid loving chiding from esteemed Franklin Rotarian and District Foundation Endowment Chair, Bill Billings … PETS is the acronym for Presidents-Elect Training Seminar.

Chesapeake PETS

Presidents-Elect from districts across the Chesapeake region gather this weekend in Chantilly for extensive training, idea sharing, and social mixing to help propel them into their Rotary year as President.  District 7600 Presidents-Elect will be participants.

These Presidents-Elect will return from PETS with the mandate to develop their club goals, including Rotary Foundation giving, and development of possible district or global grants.

Club Rotary Foundation Chairs will be on the front lines

These incoming president will be asking the assistance of their leadership teams in developing these goals and plans. Please provide your input as Club Rotary Foundation Chairs to help develop meaningful giving goals based on club giving history and a slight stretch to grow club Rotary Foundation involvement. Your expertise is also important to help guide the development of impactful district and global grants.  Don’t be shy.  This is the year to think big, sustainable projects.Consider recommending joining with other clubs to multiply impact and scale.

Grant Management Seminar

Attendance at a District Grant Management Seminar (GMS) is now a requirement for both district and global grants.  The first GMS is on March 25 at 9 am in Williamsburg at the Colonial Heritage Club.  Registration is now open on dacdb.com on the district calendar and full details can be found there.

dana-gms-webinarIn April (8th & 29th) there will be two live GMS Webinars.  Attendance can be in person or via computer.  Registrations for these webinars will be open shortly after PETS, again, on the dacdb.com district calendar.

To help prepare look at the grant documents for the  2017 -18 Grants.

Are you a current leader … president, club foundation chair, district grant project leader, a committee chair?

2017-01-03

Presidents should be registered or should be registering for the Presidential Retreat to be held on this Saturday, January 7 in Richmond.

Tasks for current club leaders to be working on or delegating in the next 90 days include

  • encouraging member engagement with the Rotary Foundation by giving early
  • assigning appropriate club leaders to be working on District Club Award nominations
  • encouraging your district grant project leaders to adhere to grant reporting requirements

Are you an incoming President (current President-Elect), incoming Rotary Foundation Chair, or incoming grant application lead?

Incoming Presidents (Presidents-Elect) should be registered or planning on registering for PrePETS also held in Richmond this weekend concurrently with the Presidential Retreat. Here you will be briefed

logo

  • about  Chesapeake PETS (Presidents-Elect Training Seminar) required for Presidents-Elects on March 2-5, in Chantilly, Virginia.  You should register now
  • district administrative changes to take place in the 2017-18 Rotary Year
  • intro to some of the 2017-18 district and global grant application requirements
  • intro (hands on) to ‘My Rotary’ and District and Club Database (dacdb)

Among your 90 day tasks are

  • confirming that all incoming elected club officers, assigned positions, and committee chairs are entered into My Rotary and into dacdb.com as appropriate (this cannot be done soon enough 🙂
  • setting club goals with your incoming board and confirming that the goals have been entered  into ‘My Rotary’
  • preparing to help your team apply for a district or global grant

If you can accomplish these tasks appropriate to your role then the rest is easy-peasy.

dacdb.com, District Calendar, Finalize 2015-16 District Grants, Grant Management Seminar, Grants Chair, March 19. 2016, PETS, Presidents-Elect, SuAnne Bryant

Winter will soon turn into Spring.  Thoughts will wander and many will daydream about baseball games, cookouts, swimming, and wine-tasting tours, but ..

March through May is a cyclonic time span when it comes to district grants …

— Presidents-Elect will return from the Presidents-Elect Training Seminar with a list of deadlines, dos. and questions.

–one deadline is the May 15 deadline for the submission of  2016-17 district grant applications; another deadline will be May 14, because …

— if that club had a 2015-16 district grant then that grant must have been finalized, meaning all final reporting must have been made to district … or …

— that club’s 2016-17 district grant application will not be considered in the first round of grant award consideration.  But don’t wait til May 14 to attempt to close out a prior grant.

SuAnne Bryant Grants Chair

    SuAnne  Bryant     District Grants Chair

To help clarify this and other particulars, the District will sponsor its Grant Management Seminar (GMS)  on March 19 at the Colonial Heritage Clubhouse in Williamsburg. Registration is open now on dacdb.com on the district calendar.  Cost is only $25.

The GMS satisfies the requirement for Global Grants, but it also provides valuable information applicable to district grants

— an outline of stewardship and reporting requirements

— how to document and closeout current grants

— the in and outs of multi-club grants

— and how to get that Simonize shine on that old car.

If you are a grant involved club or club leader please consider registering for the GMS and encourage a couple of your other members to do so as well.  Share the load.

March 19 – Williamsburg.

January Foundation Update

'Bee A Gift to the World', Club Fundraising Analysis, District Assembly Training Seminar, Giving Awareness Campaign, Joy Report, PETS

Excel LadyJoy Kline has just compiled her Joy report,  2015 Foundation Report- Dec , which covers club Foundation giving, grouped by area, through December 31.  These figures will convey the status of each club’s giving vis a vis a club’s giving goals. Clubs should really be at or above 50% towards giving goals or have plans in place for how those goals are going to be accomplished. The Club Foundation Chairs and the Foundation Advocates are key players in helping clubs assess and attain their giving goals.

Three or four thoughts for your consideration:

  • District Giving Awareness Campaign  — Article 5 Paul Harris Society  by PHS Chair Bill Stramm has been published and sent to Club Presidents, Club Foundation Chairs, Foundation Advocates and others.  These 5 articles are concise, practical, thought provoking essays on different Rotary Foundation programs and funding.  Suggestion: One or more of the articles may be on target for a given club and help that club hone in on a goal strategy. The Giving Awareness Campaign page at the very top of this blog has a link to each of the five articles.
  • The District Rotary Foundation Committee has identified our resident Bee (aka Jan Rowley)  as a mascot for our publicity campaign of Finish Strong<>Get Ready to encourage club and club member engagement Dana and JanBee at 2015 District Training Assemblyin Foundation giving.  We will be playing on puns such as “Bee a Gift To the World.”  It is fun, funky and has a lot to do with the frequent appearances of our District Foundation Bee throughout the year.  Have some fun with it when you communicate with your clubs.  Suggestion: Wear a bright lemon yellow shirt or sweater when speaking The Rotary Foundation.  A bit of fun is not amiss.
  • The Club Fundraising Analysis, Monthly Contribution Report, Joy Report, Features articles, this blog, and the expert District Rotary Foundation Committee leaders are at your fingertips to assist … just a click, email, or phone call away. Suggestion: Give a copy of the Club Fundraising Analysis or Joy Report to your club president and brief him/her on the information included.  Make it easy for them.

OK, enough for today.  If there is anything, anything…  anyone on the District Rotary Foundation Committee can do to help you perform your role, please don’t ‘BEE’ pi5preeiBafraid to call or email and give us a shout … 804-691-8486 or woodwardcd@aol.com.

Finish Strong … Get Ready

07 Monday Dec 2015

DTTS, Finish Strong, Get Ready, PETS, PrePETS, Presidential Retreat

The four words ‘Finish Strong … Get Ready’ describe where all of the clubs and districts in Rotary International are as we hit the midway mark of the calendar year.  Current leaders are assessing status vis a vis goals for the 2015- 2016 year. The incoming leaders are identifying their teams, setting goals, and otherwise preparing for the 2016 -2017 year.

Foundation Advocates, Area Governors and Club Foundation Chairs are actually assisting both sets of leaders.  January through June can be a demanding time for all and especially for those Rotarians wearing multiple shirts, so to speak.

District 7600 leaders have access to resources and training to navigate the challenges of leadership …

January 9 is the Presidential Retreat & PrePETS workshop. Registration is already available on the district calendar on dacdb.com. Every club president and president-elect would benefit greatly by attending.

March 3-5 is PETS (Presidents-Elect Training Seminar).  It is the annual training required by Rotary International for all incoming Presidents. Registration is available on dacdb.com.  This year there are a few select spots for Presidents-Elect Nominees.

There will be other training opportunities available in person or by webinar between before July 1 which will be announced shortly.

Next week this space will highlight the District Team Training Seminar which will be held on February 6.

Remember that no Rotarian need think he or she is alone.  We are a community of sharers and mentors.

Shout Outs to:

Heather Martin, Jan Rowley, Dan Jones, Carl Duffey, Cynthia Gregg, Jim O’Brien, Kevin Kelly, PDG Chuck Arnason, DG Gary Chenault, and DRFCC Jim Probsdorfer for supporting the recent Advocates’ Conference Call.

Forrest Cleveland (Hopewell) for congratulating Carol on her award while they were shopping at Michael’s. Carol’s granddaughter was quite impressed.

‘See’ you on Monday.

Presidents-Elect Attend PETS Training — How do we Advocates Help our Foundation Chairs

Club Foundation Chairs, Club Visits, Communications, DTTS, Every Rotarian Every Year Report, Foundation Advocates, Foundation Reports, Goals, PETS, Presidents-Elect, The Rotary Foundation

This Week we have a communication from our fearless District Foundation 100_0497Committee Chair, Jim “Probs” Probsdorfer.

“Greetings to the Advocates Resources Committee and to you hardworking Advocates. Historic Triange Equine Assisted Therapies

The Presidents-Elect (PEs) from District 7600 are attending the Multi-District Presidents-Elect Training  Seminar (PETS) this weekend, February 26 – 28, in Reston, Virginia. You, as club leaders, know that this is the required and most formal of the training experiences for PEs.

These PEs as Club Presidents will need knowledgeable Club Foundation Chairs (CFCs) to help their clubs be successful and to share in some of the critical leadership tasks. Clubs need noteworthy community and global projects, and strong publicity about those projects to help them attract and retain members.

District and Global Grants are important sources of funds and  expertise for club projects. Generous giving to The Rotary Foundation by club members is the means by which grant funds are available to districts and their clubs for some of their projects.

Grants/projects → Publicity → Members → TRF Giving → DDF $   →  Grants/Projects

As Foundation Advocates you are the ‘go-to’ persons for your CFCs. In Rotary Year 2013-2014, with your help, District 7600 broke both total and per capita giving records. If we continue this trajectory the district will have vibrant and growing clubs.

Thank you for all you have done in the past for the District and The Rotary Foundation. Thank you for your continuing commitment to The Rotary Foundation.

As the PEs return from PETS they and their CFCs may have many questions for you. Be assured none of us have to know it all. We are all in this learning boat together.

Here are a few suggestions for the next 120 days of transition …

  • Ask the current CFCs for updated giving figures/reports and offer assistance to meet 2014-2015 Foundation Goals
  • Determine who the incoming CFCs will be and offer to help them help their PEs set their 2015-2016 Foundation Goals. Those goals need to be entered in My Rotary/Rotary Club Central
  • Take steps you deem helpful to have names of incoming CFC entered into Rotary Club Central even if that person currently holds that position
  • Reach out to your predecessor for information if you are a new or incoming Advocate
  • Reach out to your Area Governor. Have a beer and compare notes.

Don’t hesitate to reach out to Carol, Cindy, Bruce, me, or any of the 20 or so folks on the District Rotary Foundation Committee to ask for help or to make suggestions. We are all on the same team … those doing good in the world.” —

Probs

Pensive Carol

Carol

Just a thought or two from me … due to our work with the District Rotary Foundation Committee, and perhaps as having served as Club Foundation Chairs, we are building, collectively, amazing knowledge about The Rotary Foundation. We are special.

Have a great week — Carol (woodwardcd@aol.com)
