Foundation Advocates Now Have Access to Club Giving Reports and Member Information!

Access to Area Club Giving Reports at http://www.rotary.org :

Foundation Advocates will have access to Foundation giving reports for the clubs in their respective areas until June 30, 2015. 7600 Advocates were added last week to a pilot project to determine the efficacy of extending such access to certain additional District leaders.  Not every District has Advocates or similar roles. Log on as usual to http://www.rotary.org and go to My Rotary to access reports. What happens after June 30. We must wait and see.

Access to Area Club and Club Member Information on http://www.dacdb.com :

All 7600 Advocates have Level 5 access to Club and Club Member information for the clubs in their respective areas.  When you log on to dacdb.com (using your Rotary email address and your Rotary member ID number without the 0) you will see your name in the upper right hand corner.  There should (5) following your name.  If not, please contact me.  This access allows you to determine contact information for members in your clubs and to identify key leaders such as Club Foundation Chairs.  This is permanent as long as you are an Area Foundation Advocate.

Other News:

There is still time to register for the Grants Management Seminar (GMS) which will be held at Colonial Heritage Country Club in Williamsburg.  Register on the Calendar at http://www.dacdb.com.  Attendance is required for clubs planning to participate in a global grant.  This GMS will also have significant information and how-to with regard to the on-line application process for all grants, monitoring, reporting, record keeping and so on.

Upcoming Priority Tasks …

  • reach out to your clubs (Club Foundation Chairs) if you haven’t already
  • review the status of clubs’ to-date giving figures with each club
  • assist current/incoming Club Foundation Chairs on setting and entering Club Foundation Goals
  • put the District Training Assembly on your own calendars for April 25th and encourage your Club Foundation Chairs to do likewise
  • ‘Follow’ 7600advocates.wordpress.com and encourage your Club Foundation Chairs to do so.  Will make life a lot easier for you :))

The Presidents-Elect (PEs) have returned from PETS.  When they recover from the shock of traveling through a snow storm and from being inundated with Rotary leadership materials, many will be reaching out to their Club Foundation Chairs (CFCs) , to their Assistant Governors, and to you for assistance with getting their leadership plans and goals developed and documented.

Status of Foundation Giving :  Find out what each club in your area has achieved to date toward their 2014-2015 Foundation Giving Goals.  You can ask the CFC in each club in your area to provide that information. With that information you can be encouraging when needed or complimentary if the clubs are making significant progress on meeting their goals.  Should it be of assistance you may click ClubFundraisingAnalysis Jan 15 (64)75%.  Each page is the club fundraising analysis for a specific club.  The clubs pages are in alphabetical order so you need only to scroll down to the clubs by name in your area to see how your clubs stacked up as of January 15.  It is only a snapshot through that date, but it may be helpful.

Setting 2015-2016 Club Giving Goals:  PEs received the 64 Club Fundraising Analysis mentioned  above and a worksheet for setting their Foundation giving goals.  They were instructed to use the worksheet to develop their goals prior to going to My Rotary to enter them into the RI database at rotary.org.  The The Rotary Foundation Recommendations which they received at PETS even provided information on how to enter to enter those goals on My Rotary.

Grants/Grants Management Seminar:  The PEs were informed that the deadline for applying for District Grants is May 15.  They know each club must send a representative(s) to a Grants Management Seminar (GMS)  to be eligible to receive a Global Grant but that there is district grant information provided at the GMS as well.  The first GMS is scheduled for March 21 at Colonial Heritage Country Club in Williamsburg. The registration is now available on the calendar tab of dacdb.com.  I plan to attend and I hope you will as well.  It is a great way to learn what your clubs are learning and to interact with them.  If you come I will buy you a drink afterwards.  If you need assistance registering just give me a whistle.  I can walk you through it.  Here is the 2015 GMS Flyer for the GMS.

Presidents-Elect Attend PETS Training — How do we Advocates Help our Foundation Chairs

This Week we have a communication from our fearless District Foundation 100_0497Committee Chair, Jim “Probs” Probsdorfer.

“Greetings to the Advocates Resources Committee and to you hardworking Advocates. Historic Triange Equine Assisted Therapies

The Presidents-Elect (PEs) from District 7600 are attending the Multi-District Presidents-Elect Training  Seminar (PETS) this weekend, February 26 – 28, in Reston, Virginia. You, as club leaders, know that this is the required and most formal of the training experiences for PEs.

 These PEs as Club Presidents will need knowledgeable Club Foundation Chairs (CFCs) to help their clubs be successful and to share in some of the critical leadership tasks. Clubs need noteworthy community and global projects, and strong publicity about those projects to help them attract and retain members.

District and Global Grants are important sources of funds and  expertise for club projects. Generous giving to The Rotary Foundation by club members is the means by which grant funds are available to districts and their clubs for some of their projects.

Grants/projects → Publicity → Members → TRF Giving → DDF $   →  Grants/Projects  

As Foundation Advocates you are the ‘go-to’ persons for your CFCs. In Rotary Year 2013-2014, with your help, District 7600 broke both total and per capita giving records. If we continue this trajectory the district will have vibrant and growing clubs.

Thank you for all you have done in the past for the District and The Rotary Foundation. Thank you for your continuing commitment to The Rotary Foundation.

As the PEs return from PETS they and their CFCs may have many questions for you. Be assured none of us have to know it all. We are all in this learning boat together.

Here are a few suggestions for the next 120 days of transition …

  • Ask the current CFCs for updated giving figures/reports and offer assistance to meet 2014-2015 Foundation Goals
  • Determine who the incoming CFCs will be and offer to help them help their PEs set their 2015-2016 Foundation Goals. Those goals need to be entered in My Rotary/Rotary Club Central
  • Take steps you deem helpful to have names of incoming CFC entered into Rotary Club Central even if that person currently holds that position
  • Reach out to your predecessor for information if you are a new or incoming Advocate
  • Reach out to your Area Governor. Have a beer and compare notes.

Don’t hesitate to reach out to Carol, Cindy, Bruce, me, or any of the 20 or so folks on the District Rotary Foundation Committee to ask for help or to make suggestions. We are all on the same team … those doing good in the world.” —

Just a thought or two from me … due to our work with the District Rotary Foundation Committee, and perhaps as having served as Club Foundation Chairs, we are building, collectively, amazing knowledge about The Rotary Foundation. We are special.
