This article by Debbie Wall (Colonial Heights), District Secretary and District Communication Officer, is the second in a series of three articles describing the steps for Club Foundation Chairs (CFCs) to take in order to access club giving reports. The first article (August 16) addressed setting up an account in ‘My Rotary’ which is the first step in the CFCs having such access. This week the article addresses ‘assigned positions’ which is step 2 which must be completed for the CFC to access his or her club reports.
Any club officer whose name has already been entered into the roster of club officers in My Rotary can enter the name of the Club Foundation Chair into the club’s assigned positions in My Rotary. The assigned positions are President, Secretary, Treasurer, Executive Secretary (if there is one) the Membership Chair, and the Club Foundation Chair. So it is likely that the President or the Club Secretary has already entered the CFC’s name. Ask them point blank if the name of the CFC has been entered into the assigned position in My Rotary. This is necessary even if the CFC for this year also served in the prior year. The name of any assigned position must be entered each year.
If you are the club’s Foundation Chair logon to rotary.org. Click on My Rotary. Click on The Rotary Foundation and then on Foundation Reports.
After Clicking on Foundation Reports scroll down the left side of the page until you see Club Giving. Click on View Reports.
If you can access the reports then you are all set up. If not, it is likely that the President or Club Secretary will need to enter your name into the assigned position pronto. This handy guide ‘ how to add club officer ‘ will make it easy as pie. Share it with your Club President or Club Secretary.
Want in-person help? Why not give your Foundation Advocate a call. There are nine of them who serve various geographic areas within our district. If your Club President or Secretary needs assistance entering your name into the assigned position in My Rotary, or if that has already been done and you need assistance navigating to your club’s reports or using them, your Foundation Advocate can provide that assistance. For your convenience click Advocates and their Clubs for a list of the Foundation Advocates and the clubs each Foundation Advocate serves.

Thank you for asking. There is a three step process which will allow a Club Foundation Chair to access the club’s giving reports. Those steps in sequential order are:
This is the first step which must occur and it means that the Club Foundation Chair, you will need to do it. It isn’t hard. It is easy-peasy. Really. Click how_to_create_my_rotary_account for a step by step guide with pictures on how to set up your own My Rotary account if you haven’t done already. And share this with club members. Every Rotarian should have her or his own My Rotary account. It is free and there is so much stuff on rotary.org.
So, until Tuesday, be sure you have set up your ‘My Rotary’ account and ask your Club President, Secretary, Treasurer, or Executive Secretary whether your name has been entered into the ‘assigned position’ for Club Foundation Chair.

Conceding to Erato we will continue the poetic theme which appears frequently in this weekly Foundation update … this is an ode, in prose form, to the Club Fundraising Analysis Report. Every Club has one of these concise jewels:
Club presidents, presidents-elect, and club Rotary Foundation chairs have access to this nifty little one-page report which is found when those leaders log into My Rotary and click on Foundation Reports. It gives a historic five-year snapshot of the club’s Foundation history in six topic areas. The analysis includes a year-to-date status for the current year and four years history prior to that in the areas of Annual Fund Goal, Annual Fund Contributions, Total Contributions, Annual Fund Per Capita (Club & District), Membership Levels, and a three-year snapshot of Every Rotarian Every Year (EREY), Sustaining, and Paul Harris Society (PHS) Eligible Members.
A Club Fundraising Analysis Report
This lovely report can help the current club president and club Rotary Foundation chair check the current status of giving in relation to the club’s annual fund giving goal. What a gift to clubs wanting to ‘Bee’ A Gift to the World.
The report can also help the president-elect and incoming club foundation chair set practical giving goals for the coming year based on the goal and giving history. If you need help the District Foundation Advocates also have access to the Foundation reports for their clubs as does each club’s Area Governor.

District Governor-Elect Diane Hagemann and Past District Governor Chuck Arnason connected in September at the Rotary Club of Prince George County for a club program. Afterwards they took the opportunity to find a quiet corner to confer with each other on matters relating to the 2016 -2o17 Rotary year. What wasn’t known to most Rotarians at the time was that PDG Chuck was the incoming District Rotary Foundation Committee Chair.

Recently, Foundation Advocate for Area 7, Stan Wall (Colonial Heights Club), after coordinating with Area Governor Sam Parham (Petersburg Breakfast Rotary), connected with his clubs’ Club Foundation Chairs and Presidents-Elect to once again brief them on and answer questions about the Memorandum of Understanding and other topics the PEs would be studying at the Presidents-Elect Training Seminar (PETS).
These two vignettes demonstrate that sometimes face to face meetings with individuals or small groups can help promote the understanding of roles and contribute to the sharing of information as challenges arise.
Presidents-Elect and Club Foundation Chairs, whether they are new to the roles or are repeating those roles (as often happens in smaller clubs), may feel overwhelmed at times by what is expected and when. Whatever our roles in our clubs or the district, we all want to do a good job and help others shine in their roles. Yes, this is a bit of a pep ‘talk’, but worthy of doing. We are Rotarians who are ‘Gifts To The World’ by ‘Serving Humanity.’

I extend my deepest thanks to the 64 Club Foundation Chairs (CFCs) for their efforts to encourage members to give generously to The Rotary Foundation (TRF) and for club participation in district and global grants.
CFCs are in the forefront is answering questions about the ever changing world of our Rotary philanthropic arm, engaging with club goal setting, keeping TRF present in the weekly club activities, and in celebrating our successes as we strive to ‘Be a Gift to the World.’

The role of the Club Foundation Chair is so important that this year the District created and awarded the first annual James Pierce Foundation Leadership Award to recognize a dedicated, successful Club Foundation Chair. The inaugural award was to Charles Moncure of the Innsbrook Club, who not only performed in a superior manner as the Club’s Foundation Chair, he subsequently served successfully as a Foundation Advocate.
It is a dynamic role … inputting data, downloading, anaylzing, and using timely club reports, and just navigating the changing role of the Club Foundation Chair who is now in what are termed ‘assigned positions.’ These are the designated club leaders who have access to input data and retrieve management reports on the status of the cub.
The harder part may be taking the data and using it to help individual members relate to The Rotary Foundation in a personal, committed way.
The challenges facing the CFCs are many and sensitive, but without their efforts serving as champions for The Rotary Foundation, Rotary’s ability to make meaningful impact on the world would be diminished. So …

Rotarians are familiar with the Rotary International theme for the 2015-2016 Rotary year. Often one Rotarian says to another Rotarian ‘You are a gift to the world.’ What a huge compliment coming from one Rotarian to another.
Bee A Gift To The World
District 7600 is taking personal license with our theme because we have a resident Rotarian bee who has appeared in many promotions for our District Rotary Foundation Committee. Our beautiful bee is Jan Rowley, a member of the Prince George County Rotary and a Foundation Advocate. She will be reminding all to ‘Finish Strong … Get Ready’ in the next few months. Clubs meeting their Foundation giving goals, engaging members in The Rotary Foundation, and preparing club Foundation giving goals for the 2016-2017 year will mean that each District 7600 Rotarian will be ‘Bee’ A Gift To The World.
A ‘Bee A Gift’ suggestion is to access the Club Recognition Summary Report in My Rotary (all Club Foundation Chairs, Foundation Advocates, and Area Governors can do this) and determine how many club recognition points the club and each member of the club have. These recognition points can be used to help members progress towards or achieve Paul Harris Status. Rewarding regular givers or encouraging less regular givers in the club would increase a sense of engagement and investment in The Rotary Foundation. There is plenty of time before the end of the Rotary Year to design and implement a reward/incentive program to use those points.

Labor Day is a day of reflection and of gratitude to those who have worked so hard to give the ‘working man’ a fair shot at meaningful, safe employment that will support a family and contribute to our country’s prosperity.
So today … in that vein … I salute you, the Rotarians of District 7600, who ‘work’ so assiduously to promote and support The Rotary Foundation. It seems like an endless effort at times, but as Foundation Advocates, Club Foundation Chairs, Area Governors, and Foundation donors we know that the results of our efforts will survive us and that we leave a legacy of doing good in the world.

Do you need a side by side of last years’ club goals and giving and the club goals for 2015-2016? Many of us need a sense of how accurate and purposeful the current club goals are in comparison to what clubs did last year. Are current goals unrealistically low or high? Do any of the goals need to be adjusted to be more objective?
So for your use, Joy Kline has compiled a Foundation Report July 2015 which provides the information described above. She has sorted the information by areas to make it easier for Foundation Advocates, Area Governors, and Club Foundation Chairs to use the information. As she adds other categories of giving to this monthly report, we can slice and dice the spreadsheets so that you get the reports in printable chunks. In the meantime enjoy this first ‘Joy Report’ of the Rotary year and think of her caring efforts to provide news we can use quickly. Though Area Governors and Area Governors have access to the clubs’ reports for their areas and Club Foundation Chairs have access to their own club’s reports, sometimes it is handy to have information already compiled.
Joy, a member of the Goochland Club, is a banker. In fact, she is the Executive Vice-President of Retail Banking at Village Bank. Joy is a respected Rotary leader and Foundation Donor. She is a past Area Governor, a graduate of the Rotary Leadership Insititute, a Foundation Benefactor, a Sustaining Member, and a key member of the Development team of the District Rotary Foundation Committee. She also has a great sense of humor as exemplified by the Excel spreadsheet skirt she fashioned and modeled at the Foundation Workshop above.

In the meantime … it is a great time of year for Advocates to shake off the beach sand and connect with the Club Foundation Chairs. Building a one-on-one relationship with each Club Foundation Chair is just such a super way to cement the connections that will allow you to assist their clubs as the Rotary year progresses. Pick up the phone, send an email, or join a Club Foundation Chair at his or her club meeting. The Foundation Advocates, the Club Foundation Chairs, and the Area Governors can be remarkable teams to take the District 7600 Foundation Giving and Grants programs to Freedom Tower heights. No one in Rotary does a job alone.
Do you say ‘EEEEE-RAY’ or ‘Eerie?’ … doesn’t matter. What matters is that Every Rotarian Every Year gives to The Rotary Foundation. Why? Because after three years 50% of what is given in one year comes back to the District to support grants, both local and global. We are Rotarians and we are about ‘doing good in the world.’ The District Foundation Committee Development Chair, Ken Hodge, wrote a heartwarming article, EREY is for Everyone, which describes the importance of EREY. Last Rotary year (2014-2015) 16% of District 7600 Rotarians did not give to the Foundation. This year our mission as Foundation leaders is help every club become an EREY Club. Are you in?
The delegation of access to Foundation Advocates by the Area Governors is coming along … slowly. It is the dog days of summer, you know. Lt. Governor Mike Jallo plans to reach out personally this week to the 6 Area Governors who have yet to delegate access. When access to your clubs’ reports has been completed you will receive an email notice from Rotary International to that effect. Plunge in and start accessing those reports, because …
There is building momentum in the clubs to understand and harvest Recognition Points implementing what they learned at the Foundation Workshop. TRF awards a recognition point for every dollar donated to the Annual Fund whether the donation is from a club or from an individual member. These Recognition Points can be used by the club and by members to recognize individuals and to encourage giving. The information regarding the number of recognition points available is in the reports of each club … just giving you a heads up. Scope out two articles regarding how The Historic Triangle and the Petersburg clubs have used the Recognition Points in the July and August issues of the Features. Those issues are in your email inbox and on the home page of http://www.rotary7600.org.

Apologies in advance … this update will be slightly longer than promised … might want to save it for reading later when you can kick back with glass of wine or a cold one while you savor this newsy, juicy stuff.
A shout out to the six Foundation Advocates who attended and to Bruce Settle, Advocates Committee Member who made the day brighter. The Advocates there were Michael Binns (Area 3), Jan Rowley (Area 6), Carl Duffey (Area 5), Stan Wall (Area 7), Dan Jones (Area 8), and Heather Martin (Area 17). The Advocates , who wore colorful leis, assisted attendees to find the bathrooms, the coffee, and the breakouts. Valuable service. Attached are the three documents prepared specifically for the Advocates , Club Foundation Chairs and other attendees. To the Advocates and Club Foundation Chairs who attended the workshop, please replace the chart of the Area Governors and Advocates with the one attached here.
List of Advocates & their counterpart AGs: AG and FA Table 2015-2017 AG’s and Foundation Advocates have mutual goals for working with the clubs in their areas. Reach out to your area counterpart and coordinate the important work you have to do.
Advocates Contact List: 2015-2016 Advocates Contact List This is particularly helpful for Club Foundation Chairs. You do not have to do your work alone. Reach out to your Area Foundation Advocate for all things Foundation.
Communication Plan: ADVOCATE’S & FOUNDATION CHAIR’S COMMUNICATION PLAN This document is a road map for some of the ongoing information available about the Foundation and the District in general. How do we learn what we need to know?…. Being familiar with the information provided on a regular basis is a great start.
Short answer to that question is for all of the Foundation Advocates and Club Foundation Chairs to search each other out.

Plan B, if that doesn’t work, will be to do it the RI way by having each AG delegate such access to his or her Foundation Advocate counterpart. Obviously, we are hoping for Plan A and you will be kept informed. I know how much you all love those reports. You may remember a monthly EXCEL spreadsheet lovingly prepared by Joy Kline. That report is also be a great updating resource.
A heartfelt thanks is extended to Wendell Barbour, Jeff Jacobs, and Charles Moncure who served many tours as Foundation Advocates for their areas. If you have occasion to interact with them, thank them for their efforts.

Register now on dacdb.com for the Foundation Workshop which will be held concurrently with the District Membership Workshop at the Colonial Heritage Country Club in Williamsburg. It is a super opportunity for members of a club to carpool because both workshops are held at the same location.
Definitely Club Rotary Foundation Chairs, District Foundation Advocates, and anyone interested in the work of The Rotary Foundation, applying for and monitoring district grants, or how to write a successful grant application. In fact it would be well to have three or four folks from a club register for the portion of the Foundation Workshop of interest to that person or role … giving programs, grants, or grant writing.
Foundation Advocates and Club Rotary Foundation Chairs should make this Workshop a priority for themselves and encourage others in their clubs or areas to attend. Clubs have it great because they can easily carpool with both membership and foundation is in one location.
Because we are Rotarians who made a promise to learn, share, and support.

Rotary is never at low tide. Club Foundation Chairs, Foundation Advocates, and Area Governors have been working with their clubs’ Presidents and Presidents-Elect to achieve 2014-15 giving goals and to set, then document, 2015-16 giving goals.
This report published last week shows which clubs had entered those goals. It would be very helpful if the Foundation Advocates would follow up with their clubs who need help. You might remind clubs that, while the President-Elect is involved in setting Foundation giving goals those leaders in designated positions such as Secretary, Executive Secretary, Membership Chair, and Club Foundation Chair can actually input the goals into Rotary Club Central.

A look ahead for your calendars:
July 9 & 20 … End Polio Now: The End Polio Now baseball games will kick start the Rotary year. July 9 is the date of the Flying Squirrels game at the Diamond in Richmond and July 20 is the date of the Norfolk Tides game at Harbor Park. Each club has appointed a club member to take reservations and payments for tickets.
August 1 … Foundation/Membership Workshop: This engaging, interactive double workshop will be held at the Colonial Heritage Golf Club. More information will follow soon.
Personal: Congratulations to Bob and I who are celebrating our 46th wedding anniversary today (June 8th). As Indiana Jones said in Raiders of the Lost Ark … ‘It’s not the years … it’s the miles.”
