This article by Debbie Wall (Colonial Heights), District Secretary and District Communication Officer, is the second in a series of three articles describing the steps for Club Foundation Chairs (CFCs) to take in order to access club giving reports. The first article (August 16) addressed setting up an account in ‘My Rotary’ which is the first step in the CFCs having such access.  This week  the article addresses ‘assigned positions’ which is step 2 which must be completed for the CFC to access his or her club reports.  

 

Who can enter the Club Foundation Chair’s name into My Rotary?

Any club officer whose name has already been entered into the roster of club officers in My Rotary  can enter the name of the Club Foundation Chair into the club’s assigned positions in My Rotary.  The assigned positions are President, Secretary, Treasurer, Executive Secretary (if there is one) the Membership Chair, and the Club Foundation Chair.  So it is likely that the President or the Club Secretary has already entered the CFC’s name.  Ask them point blank if  the name of the CFC has been entered into the assigned position in My Rotary. This is necessary even if the CFC for this year also served in the prior year.  The name of any assigned position must be entered each year.

If you are the club’s Foundation Chair logon to rotary.org. Click on My Rotary. Click on The Rotary Foundation and then on Foundation Reports.

After Clicking on Foundation Reports scroll down the left side of the page until you see Club Giving. Click on View Reports.

If you can access the reports then you are all set up.  If not, it is likely that the President or Club Secretary will need to enter your name into the assigned position pronto.  This handy guide ‘ how to add club officer  ‘ will make it easy as pie. Share it with your Club President or Club Secretary.

Question from Club Foundation Chairs, “How do I get to the Foundation Giving Reports for my club?”

Thank you for asking.  There is a three step process which will allow a Club Foundation Chair to access the club’s giving reports.  Those steps in sequential order are:

  1. The Club Foundation Chair (CFC) must have (or create) an account on My Rotary at www.rotary.org.  If the CFC doesn’t have an account on My Rotary step 2 cannot occur.
  2. The CFC’s name has been entered in Rotary Club Central by the current club officer(s) who inputs data for the club.  Each year each club must enter the names of club members who hold certain ‘assigned positions’.  Those ‘assigned positions’are President, Secretary, Treasurer, Club Foundation Chair, Membership Chair, and Executive Secretary if the club has one.  This must be done each year even if there is not a change in the name of the person holding any given position.  So if the CFC held the position in 2015-16, she or he, would still have to be entered for the 2016-17 year by a current club officer.
  3. Once the CFC is good on 2 and 3 above the she or he can navigate to the Foundation Giving Reports.

Setting up a My Rotary account:

This is the first step which must occur and it means that the Club Foundation Chair, you will need to do it.  It isn’t hard.  It is easy-peasy.  Really. Click how_to_create_my_rotary_account for a step by step guide with pictures on how to set up your own My Rotary account if you haven’t done already.  And share this with club members.  Every Rotarian should have her or his own My Rotary account. It is free and there is so much stuff on rotary.org.

So, until Tuesday, be sure you have set up your ‘My Rotary’ account and ask your Club President, Secretary, Treasurer, or Executive Secretary whether your name has been entered into the ‘assigned position’ for Club Foundation Chair.

Bill Bills and his tropical friendsThank you to the 60+ Rotarians who attended the District Foundation Workshop on Saturday, August 6th.  Another 30+ attended the Membership Workshop.  The attendance level was amazing considering that many district Rotarians were involved in the Newport News 100th birthday celebration with luminaries such as the Rotary International President John Germ,and Congressman Bobby Scott in attendance.

What was also truly amazing was the all-in involvement and interaction by Rotarians committed to The Rotary Foundation.  It was definitely a give and take experience.  District Rotary Foundation leaders, Joy Kline, Bill Liepis, Bill Billings, SuAnne Hardee Bryant, Wendy Hosick, Wayne Boggs, and Colleen Bonadonna shared their expertise, either in person, or by supplying material to be presented by their colleagues. As the District Rotary Foundation Committee Chair (DRFC or DRFCC for short) I had my confidence in the presenters confirmed again as they presented key information and responded to questions.

Unless we hear from our colleagues in the clubs, YOU, we may be unaware of what information needs to be shared, re-shared, or, perhaps presented in a different way. For some of the attendees the information was not new, for others is may have been too much … not scaled to a given individual’s needs.

It was clear to me that we need to loop back with clubs in some way to be 2016-08-09sure that Club Foundation Chairs have access to and know how to use the Club Foundation giving reports. There were many questions about that topic during or after the presentations. There were also a number of questions about becoming a Benefactor.

So come back at us, please. How can our District Rotary Foundation Committee help with any of your  or your club’s Foundation needs. We will make presentations in your clubs, schedule comupter walk-throughs with you individually, schedule small regional trainings, respond by email … just let us know what will work for you.

What every club rotary foundation chair should do now …

Bill Billings, our vigilant acronym buster from the Franklin Club and incoming Endowment Fund lead for the District Rotary Foundation Committee, may be reading this, so up front, TRF stands for The Rotary Foundation.

So, if you are the current club Rotary Foundation chair double check with your treasurer that all contributions to TRF, which rely on submission by the club treasurer have been submitted.  There is absolutely no reason to wait until June 30 to forward such sums.  If you will be the club Rotary Foundation chair next year, encourage your members to submit their own TRF donations via Rotary Direct at www.rotary.org.  This is the 21st Century and it will take a load off of the treasurer and you, for that matter.

2016-17 club rotary foundation chair in assigned position in My Rotary:

The club rotary foundation chair for 2016-17 must be listed in that assigned position in My Rotary at www.rotary.org in able to access giving reports for the club.  This applies even if the current club Rotary Foundation chair is continuing in the same position in the next rotary year. Check with your president-elect, club secretary, club executive secretary, or whoever in your club inputs that data to be sure that you have been ‘assigned’ in My Rotary as the club’s Rotary Foundation chair for the 2016-17 rotary year.

Refresh yourself on the New Year Resolutions (aka club goals):

Coordinate with your president-elect so you can get a jump start on meeting the foundation giving goals for the coming rotary year.  Boom!

Learning from the clubs … Foundation Presentations:

Many of us Foundation-loving Rotarians are visiting the clubs in District 7600 to share data, insights, suggestions, and appreciation.  Some of us are Club Foundation Chairs, others are Advocates, and others are members of the District Rotary Foundation Committee.  When visiting a club to make a recognition presentation or provide a Foundation program, the presenter reviews the giving and grant data for that club, membership trends, and what we can glean about the reasons for success or lack of success in the club’s achievement of its Foundation goals.

The club specific information provides insight into how that club has embraced the two seismic changes that Rotary International and The Rotary Foundation rolled out in the Renette Rawlins PHS2013-2014 year.  RI rolled out its new website (actually a database with a very pretty face) and The Rotary Foundation rolled out the new giving and grant structure.  The two are inextricably linked.  The website provides mechanisms for clubs, the district, the zone, and RI to input, access, and track club management.  If the club management tools are effectively implemented by the clubs, the clubs then have access to current and historic data regarding their performance in all areas and, particularly, in the Foundation area.  Access to Foundation information is now available  to the ‘assigned’ positions in each club, as well as to Area Governor, Foundation Chairs, and to certain members of the District Rotary Foundation Committee.

The ‘assigned’ positions are the club officers, the Club Foundation Chair, the Membership Chair, and the Executive Secretary if there is one.  The trick is that these ‘assigned’ position names must be input into the appropriate form in the Club Management Area. To be eligible to be input in that area, the named member must first have created an account on My Rotary.

All Club Foundation Chairs and Foundation Advocates are encouraged to scope out the club(s) in their domain to ascertain if all of the current and incoming assigned position names have been entered.  If not, a good direction to go is to determine if the members in those club positions have My Rotary accounts.  Yes, all of that information is available after going into “My Rotary”, then to “Manage”, and then to “Club Administration”.
