Fundraising Goals for Polio Met:

This week District Rotary Foundation Chair (DRFC) Stephen Beer (Innsbrook) shared an email he received from Chuck Davidson, the Zone 33 Polio Chair. Chuck’s email covered an email from Brenda Cressey, the Immediate Past Chair of The Rotary Foundation (TRF). Part of email dealt with our Polio fundraising and eradication efforts.

Her email reported that the Polio Eradication fundraising goal of last year (2018-2019) of $50 million had been surpassed. This good news comes along with Chuck’s good news that as of July 24, 2019, there were NO new cases of the polio wildvirus in Pakistan or Afghanistan in the seven days prior.

Our own district is part of that success! Colleen Bonadonna (New Kent), our District Polio Chair, has put enormous energy into raising awareness and financial commitment in District 7600 towards eradicating Polio. According to Rudy Garcia (Fluvanna), our district’s Immediate Past Development Chair reports that in 2018-19, our district Polio donations were $107, 894. There was also a District Designated Funds (DDF) match of $57, 616 for a grant total of $165,510 towards Polio eradication.

Rotarians are #peopleofaction and action and action.

Peace Fellow Graduates are Alumni!

The first peace fellow graduating class was in 2004. There are 1235 living alumni from the peace fellow programs through 2019 (excluding the 2018-19 class at Bradford University. Almost all of the graduates have provided employment information to Rotary International at least once. Here are some employment tidbits from those updates.

Bill Rintz, Alumni Relations Specialist for Rotary Peace Fellows, provided an update on peace fellow graduates via Mark Zober on the Rotary International Federation of Rotarian Editors and Publishers (Rotary IFREP) Facebook Group recently.

  • 38% work for NGOs or other peace-related organizations
  • 14% work for governments or the military 
  • 10% are teachers or professors
  • 7% work in research or other academic positions
  • 5% are in advanced degree programs
  • 5% work for UN agencies
  • 3% are lawyers
  • 3% are in law enforcement
  • 1% work for the World Bank
  • 7% do not fit into easily described categories
  • 5% are in an employment search mode.

Do any of these figures surprise you? Have any ideas about how these peace fellows are distributed around the world?

Tips on the removal of facial hair were nixed, but … do you want to know where your club’s giving stands?

chuckheadshavingRemoval of facial hair just didn’t arouse any interest, though Chuck lost quite a bit of hair a couple of years ago on a bet. Instead of hirsute matters, we will give all an update on the status of District 7600 club giving for the 2016-17 Rotary year.  These figures are as of the end of February and in a couple of weeks, we will have the end of March figures.  You can find more up to date figures for your club in Rotary Club Central under Club Giving Reports.

For now, if your club is in the 66% range of club giving at this time according to the Annual Fund Goals FEB 2017,  otherwise known as the ‘Joy Report’, then your club is pretty much on track.  We know that some clubs save all of the donations up until the very last possible moment before forwarding to The Rotary Foundation, but we always hope they will change their ways.

The Joy Report is prepared by Joy Kline to assist clubs quickly understand the status of their giving as compared to the goals set for the 2016-17 year.  Joy is the District Rotary Joy KlineFoundation Committee Annual Fund Chair and a member of the Goochland Club.   When you see her in the future, please express some gratitude, please.

Clubs are stacking up … giving wise

A scan of the District Monthly Contribution Report provided some good news … better for some than for others.

As of the end of December (January figures should be ready shortly), 33 of our 64 clubs were at 50% or more of their annual fund goals set way back in the spring of 2016 for the 2016-17 year.  A few clubs were at 100% or better.  This probably isn’t news to those of you who attended the Presidential Retreat on January 28th.

The total of the Annual Fund goals set by the clubs for the 2016-17 Rotary year came to $476,290.  Understand that some clubs set what they considered safe goals, while other clubs set optimistic or even heroic goals.  So we get that.  As of the end of December, the total Annual Fund giving totaled $229,085 … almost halfway there.

So, thank you, and keep charging.  There may be a club giving Banner for you at the Foundation Awards Banquet.

The Rotary Foundation has recommended that clubs urge each member to donate at least $26.50 to the Foundation as that was the amount of our first donation.  We urge you to up that a bit for a contribution from each member of $126.50.  That will recognize the 100 years of TRF, the commemoration of the first donation amount, and will enable each club to achieve the newly organized Every Rotarian Every Year/Sustaining Member Club Foundation Banner.  What do you think?

Finally, a super hack on how to read the book, Doing Good in the World:  The inspiring Story of The Rotary Foundations First 100 Years, commemorating the 100 years of The Rotary Foundation.  The hard bound book, and it is beautiful, is $40.  Did you know that on My Rotary (via Amazon)  you can order it as an ebook for $9.99?  It is on this writer’s iPhone and easily available for writing newsletter articles, press releases, and such.  Just a thought.

Club Foundation Reports … episode 3 … Access to and Use of

Chuck Arnason District Rotary Foundation Committee Chair

This is the third of three articles, this one by Chuck Arnason, responding to Club Foundation Chairs (CFCs) on how to access and use club giving reports.  The first article (August 16)  focused on step 1 and laid out how to create an account on My Rotary which every CFC must do to have access to anything on the Rotary International website.  The second article (August 23) described step 2 on how a club officer must enter the CFC’s name into the assigned position on the RI website. If the CFC doesn’t have a My Rotary Account, his or her name cannot be entered.  This article, step 3, describes the list of giving reports available to CFCs, what each contains, and how to access them.  The content of the reports are described by the title of the reports and provide the latest club giving information available in different categories.

Current line-up of giving reports:

  • Benefactor Report
  • Club Recognition Summary
  • Club Foundation Banner Report
  • Major Donor, Arch C. Klumph Society, and The Bequest Society Report
  • Club Fundraising Analysis Report
  • Paul Harris Society Report

The reports give the most timely giving-to-date information available (there can be a little lag time so check back from time to time).  Except for the Club Fundraising Analysis Report, each report provides both to-date cumulative data for the club and detailed by-member giving.

The Club Fundraising Analysis report does not mention individuals and would be a good report to pull regularly and share with the club when the CFC does a Foundation minute to update the club or board on the status of club giving as related to its giving goals.

The Club Foundation Banner Report will help clubs track how close they are to achieving banner recognition at the Change of Leadership and Awards Banquet in the Every Rotarian Every Year and Sustaining Member Category.  To be eligible for this Banner a club must have a donation by each club member of at least $25 and an average per capita giving of $100.

All of the reports except the Club Fundraising Analysis provide individual giving information and should not be shared with the club other than the cumulative giving numbers for the club.

Accessing these foundation giving reports:

This handy document will walk the user, in this case a trusty Club Foundation Chair, through the steps to access these reports.  Again, this is assuming that the CFC has a My Rotary Account and has been entered into the assigned position.  Click trf_contribution_and_recognition_reports_guide_en (7)   and download  this step by step how-to guide.

This article by Debbie Wall (Colonial Heights), District Secretary and District Communication Officer, is the second in a series of three articles describing the steps for Club Foundation Chairs (CFCs) to take in order to access club giving reports. The first article (August 16) addressed setting up an account in ‘My Rotary’ which is the first step in the CFCs having such access.  This week  the article addresses ‘assigned positions’ which is step 2 which must be completed for the CFC to access his or her club reports.  

 

Who can enter the Club Foundation Chair’s name into My Rotary?

Any club officer whose name has already been entered into the roster of club officers in My Rotary  can enter the name of the Club Foundation Chair into the club’s assigned positions in My Rotary.  The assigned positions are President, Secretary, Treasurer, Executive Secretary (if there is one) the Membership Chair, and the Club Foundation Chair.  So it is likely that the President or the Club Secretary has already entered the CFC’s name.  Ask them point blank if  the name of the CFC has been entered into the assigned position in My Rotary. This is necessary even if the CFC for this year also served in the prior year.  The name of any assigned position must be entered each year.

If you are the club’s Foundation Chair logon to rotary.org. Click on My Rotary. Click on The Rotary Foundation and then on Foundation Reports.

After Clicking on Foundation Reports scroll down the left side of the page until you see Club Giving. Click on View Reports.

If you can access the reports then you are all set up.  If not, it is likely that the President or Club Secretary will need to enter your name into the assigned position pronto.  This handy guide ‘ how to add club officer  ‘ will make it easy as pie. Share it with your Club President or Club Secretary.

Question from Club Foundation Chairs, “How do I get to the Foundation Giving Reports for my club?”

Thank you for asking.  There is a three step process which will allow a Club Foundation Chair to access the club’s giving reports.  Those steps in sequential order are:

  1. The Club Foundation Chair (CFC) must have (or create) an account on My Rotary at www.rotary.org.  If the CFC doesn’t have an account on My Rotary step 2 cannot occur.
  2. The CFC’s name has been entered in Rotary Club Central by the current club officer(s) who inputs data for the club.  Each year each club must enter the names of club members who hold certain ‘assigned positions’.  Those ‘assigned positions’are President, Secretary, Treasurer, Club Foundation Chair, Membership Chair, and Executive Secretary if the club has one.  This must be done each year even if there is not a change in the name of the person holding any given position.  So if the CFC held the position in 2015-16, she or he, would still have to be entered for the 2016-17 year by a current club officer.
  3. Once the CFC is good on 2 and 3 above the she or he can navigate to the Foundation Giving Reports.

Setting up a My Rotary account:

This is the first step which must occur and it means that the Club Foundation Chair, you will need to do it.  It isn’t hard.  It is easy-peasy.  Really. Click how_to_create_my_rotary_account for a step by step guide with pictures on how to set up your own My Rotary account if you haven’t done already.  And share this with club members.  Every Rotarian should have her or his own My Rotary account. It is free and there is so much stuff on rotary.org.

So, until Tuesday, be sure you have set up your ‘My Rotary’ account and ask your Club President, Secretary, Treasurer, or Executive Secretary whether your name has been entered into the ‘assigned position’ for Club Foundation Chair.

How are our D7600 clubs doing on their Foundation giving goals?  Finishing strong?

Joy Kline circulated her February Joy Report in mid March which summarized the 7600 clubs Foundation (TRF) giving accomplishments through February 30th. The end of February represented about 66% of the Rotary year. Five clubs were near that goal at 66 to 69 % of their giving goals while  other clubs were at lower or higher levels.

The five clubs in the 66 to 69 % range were Hanover County, Henrico North, Huguenot Trail, Petersburg Breakfast, and Suffolk.  Assuming their 2015 -16 giving goals were reasonable these clubs are clubs which are plugging along at a reasonable pace to meet their TRF goals.

Emails and telephone calls are going out to these five clubs to obtain more information about how they set their goals initially, ongoing efforts to encourage giving or fundraising for The Rotary Foundation, and how they plan to meet their giving goals. These clubs may have tips on how to patiently, but deliberately, keep eyes on the ball and work towards the goals.  We hope to give updates on the progress of these five clubs in upcoming articles.

How is your club doing?  If you’re are a Club president, Club Foundation Chair, or Foundation Advocate you have access to your club Foundation Giving Reports on My Rotary and the upcoming Joy Reports will be posted here and sent to Foundation Advocates. Pictures worth a 1000 words … except

A few thoughts on public image and digital outreach by Rotarians:

Don’t overestimate the willingness of people to read …

More people are ‘reading’ or looking at content on mobile devices.  Shorter, descriptive passages, are more likely to be read than a constipated 3 page article on the development and implementation of a project.

Structure content in newsletters and information releases with an eye-catching graphic, a curiosity tweaking sentence or two, and a ‘read more’ link.

A still picture depicting action, a gif, or a short video clip if your platform supports it, will be better than a picture with fifteen people staring at the camera.

If there isn’t a picture, it didn’t happen …

Every meeting, event, or project of the club should have one or more members assigned to take photos or video clips.  Yes, the media may come and take pictures, but the publisher may not be readily willing to waive copyright.  Further some professionally taken images can be difficult for amateur newsletter editors to manipulate.

Opt for photos or video clips that show members actually doing something … active at a project work-day, serving each other coffee at a meeting, acting goofy at an End Polio Now Baseball Game.

Avoid using the predictable … the president presenting the speaker’s gift to the speaker,

When possible give attribution to the photographer/videographer.  It’s just the 4-Way Test kind of thing to do.

May is such a wonderful time of the year.  May 1 is my birthday so the month has always been special to me.

For Rotary Clubs it is also a hectic month … meeting goals from 2014 -2015, setting goals for 2015 – 2016, submitting district grant applications, getting ready for the governance transition on July 1.  It is such a dynamic month for Rotary Clubs world-wide.

Many thanks to the Foundation Advocates who are following up with their clubs on all of the above and offering their assistance to Club Foundation Chairs, Presidents, Presidents-Elect, and to their counter-parts, the Area Governors.  Those who care about The Rotary Foundation are a creative, supportive community.

Thanks to the Foundation Advocates and Club Foundation Chairs in attendance at the District Training Assembly … I don’t know all of the 60 something Club Foundation Chairs, but I am learning that many of the Foundation Advocates are Club Foundation Chairs for their clubs.  Foundation Advocates in attendance were Kevin Kelly (Goochland  Area 2), Stan Wall (Colonial Heights Area 7), Jan Rowley (Prince George Area 6) and outgoing Foundation Advocate Jeff Jacobs (Colonial Heights Area 7).  Jeff and Carolyn, both members of the Colonial Heights Club were honored for becoming level 2 Major Donors.  Thanks to all.

This is a heady time for all things having to do with The Rotary Foundation so the Foundation Advocates, Club Foundation Chairs, Presidents-Elect, and Area Governors have a lot on their plates.  Current priorities are achieving 2014-15 club giving goals, setting 2015-16 club giving goals and entering them into Rotary Club Central, and crafting and submitting applications for District Grants by the May 15 deadline.  Did you know there is still $2200 left over from the 2014 – 15 spending plan?  Ripe pickings for a club that can submit and complete a very focused grant by June 30.  So remember that the Presidents and Presidents-Elect cannot do it all alone.  That is why we are a community of volunteers supporting Rotary Foundation efforts.

We collected hundreds of dollars selling End Polio Now Crocuses, Croci … oh, heck … more than one crocus,  at the District Training Assembly thanks to Boo Elmore and Stan Wall.  Even DG Stephen got into the act.

Stan Wall, co-chair of the 2015 End Polio Now Games was also on hand to promote our baseball games on July 9 (Richmond Squirrels) and July 20 (Norfolk tides.)  We couldn’t get the official team mascots to the District Assembly so our our ‘Bee’utiful Jan Rowley was on hand to encourage all to turn out for the ‘Bee’ball games in July.

The Next Big Narly (quoting PDG Bill Pollard) Event which all Foundation Advocates, DRFC leads, and Club Foundation Chairs should get on their calendars is the Foundation Workshop on August 1 at the Colonial Heritage Club in Williamsburg.  More to follow.

Foundation Advocates Now Have Access to Club Giving Reports and Member Information!

Access to Area Club Giving Reports at http://www.rotary.org :

Foundation Advocates will have access to Foundation giving reports for the clubs in their respective areas until June 30, 2015. 7600 Advocates were added last week to a pilot project to determine the efficacy of extending such access to certain additional District leaders.  Not every District has Advocates or similar roles. Log on as usual to http://www.rotary.org and go to My Rotary to access reports. What happens after June 30. We must wait and see.

Access to Area Club and Club Member Information on http://www.dacdb.com :

All 7600 Advocates have Level 5 access to Club and Club Member information for the clubs in their respective areas.  When you log on to dacdb.com (using your Rotary email address and your Rotary member ID number without the 0) you will see your name in the upper right hand corner.  There should (5) following your name.  If not, please contact me.  This access allows you to determine contact information for members in your clubs and to identify key leaders such as Club Foundation Chairs.  This is permanent as long as you are an Area Foundation Advocate.

Other News:

There is still time to register for the Grants Management Seminar (GMS) which will be held at Colonial Heritage Country Club in Williamsburg.  Register on the Calendar at http://www.dacdb.com.  Attendance is required for clubs planning to participate in a global grant.  This GMS will also have significant information and how-to with regard to the on-line application process for all grants, monitoring, reporting, record keeping and so on.

Upcoming Priority Tasks …

  • reach out to your clubs (Club Foundation Chairs) if you haven’t already
  • review the status of clubs’ to-date giving figures with each club
  • assist current/incoming Club Foundation Chairs on setting and entering Club Foundation Goals
  • put the District Training Assembly on your own calendars for April 25th and encourage your Club Foundation Chairs to do likewise
  • ‘Follow’ 7600advocates.wordpress.com and encourage your Club Foundation Chairs to do so.  Will make life a lot easier for you :))

Five Questions from Rotary 7600 Foundation Land …

Happy February District 7600 Foundation Advocates and Club Foundation Chairs!

In my virtual travels through District Foundation Land I have encountered many questions from Advocates, incoming Advocates, and from others. Sticking to the Carol’s Rule of 5, I will address s five of those questions here.

  1. Who has access to Club Foundation Reports? Advocates do not have direct access to Club Foundation Reports through Rotary Club Central on rotary.org. To view any of the three reports from the clubs in an Advocates area, the Advocate must rely on one of three sources …
    1. District Foundation Committee Chair (Jim Probsdorfer), or the Development/Giving Chair (Ken Hodge). The Annual Giving Chair (Randy Cash) should have access, but apparently that hasn’t been closed on yet.
    2. The corresponding Area Governor (AG) for the Advocate’s Area. Good idea to develop a relationship with the AG to increase receiving those 3 club reports for each club.
    3. The Club Foundation Chair from each club in an Advocate’s area. This is another good reason to establish a relationship with an Advocate’s Club Foundation Chairs, another source for receiving those three reports. Some Club Foundation Chairs have reported not having access to club reports. When this occurs it means that the club President or Secretary must input the Club Foundation Chair’s name into the ‘current officers and/or incoming officers’ area of club administration.
  2. What are the three reports discussed above and how do I interpret them … how does the Club Foundation Chair use and interpret them? The three reports are the Monthly Contribution Report (MCR) , the Club Recognition Summary (CRS) , and the Every Rotarian Every Year (EREY) Report . There is a guide for downloading and using each on the Foundation Resources page under Rotary Foundation on rotary7600.org. For your convenience they are listed here.

  3. I am a new Advocate or will be an Advocate beginning in July 2015, where do I start? I suggest you check in with the prior Advocate and get the lay of the land from that person. Give a call to the Club Foundation Chairs for the Clubs in your area and offer to buy them a cup of coffee or a glass of wine. In other words … begin the conversation. Reach out to Carol Woodward, Bruce Settle, Cindy Pecht, Jim Probsdorfer, or anyone you feel comfortable chatting with to get a tailored response to your questions. Check out some of the documents on the rotary7600 Rotary Foundation Resources page or similar documents on the Resources page of www.7600Adovcates.wordpress.com. Reading is a great way to start. Two starting documents are the Advocate Roles and Responsibilities and The TRF Guide for Zones 33 & 34.
  4. Are there Publications we can put into the hands of our Club Foundation Chairs? The answer is yes and are available from shop.rotary.com. However, these are limited in quantity per order, often take an inordinate amount of time to arrive, and are often dated. Another source of printed materials are the actual PDFs of these publications which any Rotarian can download.
  5. As an Advocate am I required to make club visits? The short answer is no, however, building a relationship with your Club Foundation Chairs is a gateway to success and mutual information sharing. The basic role of the Advocates and the District Rotary Foundation Committee is to assist the clubs in setting and meeting their Foundation Giving goals and applying for and completing grant projects. Building relationships is key to that role. In fact, all of Rotary has been built on relationship building from day one.

This is enough for this message, but don’t hesitate to reach out to me at any time. I want to be your best friend in your role as an Advocate ( and by extension … Club Foundation Chair). This is because I love Rotary and I love The Rotary Foundation.
