This is the third of three articles, this one by Chuck Arnason, responding to Club Foundation Chairs (CFCs) on how to access and use club giving reports.  The first article (August 16)  focused on step 1 and laid out how to create an account on My Rotary which every CFC must do to have access to anything on the Rotary International website.  The second article (August 23) described step 2 on how a club officer must enter the CFC’s name into the assigned position on the RI website. If the CFC doesn’t have a My Rotary Account, his or her name cannot be entered.  This article, step 3, describes the list of giving reports available to CFCs, what each contains, and how to access them.  The content of the reports are described by the title of the reports and provide the latest club giving information available in different categories.

Current line-up of giving reports:

  • Benefactor Report
  • Club Recognition Summary
  • Club Foundation Banner Report
  • Major Donor, Arch C. Klumph Society, and The Bequest Society Report
  • Club Fundraising Analysis Report
  • Paul Harris Society Report

The reports give the most timely giving-to-date information available (there can be a little lag time so check back from time to time).  Except for the Club Fundraising Analysis Report, each report provides both to-date cumulative data for the club and detailed by-member giving.

The Club Fundraising Analysis report does not mention individuals and would be a good report to pull regularly and share with the club when the CFC does a Foundation minute to update the club or board on the status of club giving as related to its giving goals.

The Club Foundation Banner Report will help clubs track how close they are to achieving banner recognition at the Change of Leadership and Awards Banquet in the Every Rotarian Every Year and Sustaining Member Category.  To be eligible for this Banner a club must have a donation by each club member of at least $25 and an average per capita giving of $100.

All of the reports except the Club Fundraising Analysis provide individual giving information and should not be shared with the club other than the cumulative giving numbers for the club.

This handy document will walk the user, in this case a trusty Club Foundation Chair, through the steps to access these reports.  Again, this is assuming that the CFC has a My Rotary Account and has been entered into the assigned position.  Click trf_contribution_and_recognition_reports_guide_en (7)   and download  this step by step how-to guide.

Ode to the club fundraising analysis

Conceding to Erato  we will continue the poetic theme which appears frequently in this weekly Foundation update … this is an ode, in prose form, to the Club Fundraising Analysis Report.  Every Club has one of these concise jewels:

Club presidents, presidents-elect, and club Rotary Foundation chairs have access to this nifty little one-page report which is found when those leaders log into My Rotary and click on Foundation Reports. It gives a historic five-year snapshot of the club’s Foundation history in six topic areas.  The analysis includes a year-to-date status for the current year and four years history prior to that in the areas of Annual Fund Goal, Annual Fund Contributions, Total Contributions, Annual Fund Per Capita (Club & District), Membership Levels, and a three-year snapshot of Every Rotarian Every Year (EREY), Sustaining, and Paul Harris Society (PHS) Eligible Members.

A Club Fundraising Analysis Report

This lovely report can help the current club president and club Rotary Foundation chair check the current status of giving in relation to the club’s annual fund giving goal.  What a gift to clubs wanting to ‘Bee’ A Gift to the World.

The report can also help the president-elect and incoming club foundation chair set practical giving goals for the coming year based on the goal and giving history.   If you need help the District Foundation Advocates also have access to the Foundation reports for their clubs as does each club’s Area Governor.

March blows by … finishing strong?

How are our D7600 clubs doing on their Foundation giving goals?  Finishing strong?

Joy Kline circulated her February Joy Report in mid March which summarized the 7600 clubs Foundation (TRF) giving accomplishments through February 30th. The end of February represented about 66% of the Rotary year. Five clubs were near that goal at 66 to 69 % of their giving goals while  other clubs were at lower or higher levels.

The five clubs in the 66 to 69 % range were Hanover County, Henrico North, Huguenot Trail, Petersburg Breakfast, and Suffolk.  Assuming their 2015 -16 giving goals were reasonable these clubs are clubs which are plugging along at a reasonable pace to meet their TRF goals.

Emails and telephone calls are going out to these five clubs to obtain more information about how they set their goals initially, ongoing efforts to encourage giving or fundraising for The Rotary Foundation, and how they plan to meet their giving goals. These clubs may have tips on how to patiently, but deliberately, keep eyes on the ball and work towards the goals.  We hope to give updates on the progress of these five clubs in upcoming articles.

How is your club doing?  If you’re are a Club president, Club Foundation Chair, or Foundation Advocate you have access to your club Foundation Giving Reports on My Rotary and the upcoming Joy Reports will be posted here and sent to Foundation Advocates. A hint … the Club Fundraising Analysis, available when you log into My Rotary, is a great way to get a snap shot of the club’s current giving status and historic giving pattern.pi5preeiB

Incoming Foundation Advocates and Club Foundation Chairs (some of you are incumbent as well as incoming) have an important role to play in helping your Presidents-Elect in setting club Foundation goals for the 2016 -2017 Rotary year.  The challenge is to set realistic goals based on club giving history, but including a slight stretch in giving to add motivation and interest to the club effort.

These goals can be guided by the the ‘Club Fundraising Analysis‘ which is one of the Club Administration reports available in Rotary Club Central.  It provides, on one page, enough historical and current giving data to make the giving goal setting much easier.  As the incoming Club Foundation Chair, be sure that your name has been put into the Incoming Officers and Assigned Positions in Rotary Club Central.  The current officers and assigned persons can input your name as can your P-E.  This will give you access to the Club Fundraising Analysis now.

On February 20th there is a free in-person and simultaneous webinar designed for Presidents-Elect, but open to others, especially Club Foundation Chairs, entitled District 7600 PrePETS: Navigating Rotary Club Central-Setting Club Goals.  The in-person seminar is in Hampton from 9 to 11 a.m., but you can enroll and watch the webinar at home in your jammies.  You can register for this free training opportunity on the dacdb.com ‘Calendar’ by February 17th.

Excel LadyJoy Kline has just compiled her Joy report,  2015 Foundation Report- Dec , which covers club Foundation giving, grouped by area, through December 31.  These figures will convey the status of each club’s giving vis a vis a club’s giving goals. Clubs should really be at or above 50% towards giving goals or have plans in place for how those goals are going to be accomplished. The Club Foundation Chairs and the Foundation Advocates are key players in helping clubs assess and attain their giving goals.

 

Three or four thoughts for your consideration:

  • District Giving Awareness Campaign  — Article 5 Paul Harris Society  by PHS Chair Bill Stramm has been published and sent to Club Presidents, Club Foundation Chairs, Foundation Advocates and others.  These 5 articles are concise, practical, thought provoking essays on different Rotary Foundation programs and funding.  Suggestion: One or more of the articles may be on target for a given club and help that club hone in on a goal strategy. The Giving Awareness Campaign page at the very top of this blog has a link to each of the five articles.
  • The District Rotary Foundation Committee has identified our resident Bee (aka Jan Rowley)  as a mascot for our publicity campaign of Finish Strong<>Get Ready to encourage club and club member engagement Dana and JanBee at 2015 District Training Assemblyin Foundation giving.  We will be playing on puns such as “Bee a Gift To the World.”  It is fun, funky and has a lot to do with the frequent appearances of our District Foundation Bee throughout the year.  Have some fun with it when you communicate with your clubs.  Suggestion: Wear a bright lemon yellow shirt or sweater when speaking The Rotary Foundation.  A bit of fun is not amiss.
  • The Club Fundraising Analysis, Monthly Contribution Report, Joy Report, Features articles, this blog, and the expert District Rotary Foundation Committee leaders are at your fingertips to assist … just a click, email, or phone call away. Suggestion: Give a copy of the Club Fundraising Analysis or Joy Report to your club president and brief him/her on the information included.  Make it easy for them.
